Position Overview: We are looking for a Payroll Tax Specialist to join our team in Fort Wayne, IN. The successful candidate will be responsible for remitting payroll tax, responding to inquiries and ensuring tax accounts are compliant. This person will also apply leadership and tax technical skills to improve the operational and reporting of payroll and unemployment taxes.
Essential Duties:
- Assisting with the reconciliation of monthly and quarterly Federal, State and Local payroll taxes in all jurisdictions.
- Filing unemployment, withholding and quarterly 941 taxes.
- Ability to handle large volumes of online filings, up to 300 returns in a month.
- Review up to 10,000 W-2s for accuracy and assist with W-2 printing.
- Maintaining up-to-date knowledge of payroll tax laws in all states.
- Maintaining and balancing clients’ accounts using MasterTax software.
- Addressing complex tax questions received from employees, HR and Accounting.
- Review, research and respond to tax notices.
- Registering for new tax jurisdictions.
- Maintaining tax logs.
- Maintaining accurate tax rates for all jurisdictions to ensure these are being processed and billed correctly.
- Support Tax and Compliance Manager with other assigned duties and maintaining compliance with state rules and regulations.
Education & Experience:
- Associates Degree in business or related field desired, or equivalent education and/or related work experience.
- 2-4 years of experience in a business setting, PEO experience and knowledge of payroll processing preferred.

Title: Tax Specialist
Job Summary:
We are looking for a knowledgeable and detail-oriented Tax Specialist to join our team within the company. This role is responsible for preparing, reviewing, and filing various tax returns and ensuring compliance with all federal, state (including Franchise Tax Board), property and sales tax and local tax regulations. The ideal candidate will have hands on experience working with the IRS, FTB, CDFDA, controller, and other tax authorities, as well as a strong understanding of insurance-related tax requirements. This position will report to the CFO.
Key Responsibilities:
- Prepare and file federal, state, and local tax returns, including income, premium, sales/use, and payroll taxes relevant to the insurance industry.
- Ensure compliance with IRS, Franchise Tax Board (FTB), sales tax, and other taxing authority requirements.
- Analyze financial data and transactions to determine appropriate tax treatment.
- Respond to tax notices, inquiries, or audit requests from government agencies.
- Maintain up-to-date knowledge of changes in tax laws and regulations affecting the insurance industry.
· Preparing tax financials for filing tax returns.
- Assist with quarterly and annual tax provisions and tax reporting requirements.
- Coordinate with external auditors and tax consultants as needed.
- Maintain accurate documentation of all tax filings, correspondence, and supporting schedules and tax forms.
- Provide tax guidance and support to internal departments regarding new products, policies, or business operations.

Qualifications:
- Bachelor’s degree in Accounting, Finance, or a related field (CPA or EA designation is a plus).
- 2–5 years of tax experience, preferably within the insurance or financial services industry.
- Strong understanding of tax compliance procedures with the IRS and FTB, property tax, sales tax, and CDFDA.
- Proficiency in tax preparation software and Microsoft Excel.
- Solid knowledge of GAAP and tax accounting principles.

Key Responsibilities & Role Requirements
To succeed in this role, you must be someone who really enjoys doing all of the essential tax & accounting tasks our clients trust us with such as:
File federal and state returns, extensions, and quarterly payments
Recommend tax strategies by researching federal, state, and local taxation issues
Maintain legislative materials by reviewing, interpreting, and implementing new or revised laws
Maintain compliance with regulations by forwarding required information to federal, state, and local authorities
Identify the profitability of potential mergers, and acquisitions by analyzing tax information, calculating key ratios, identifying areas of tax savings.
Manage the monthly financial close process, including ensuring all costs incurred are properly recorded, reviewing journal entries, account balance reconciliations and report preparation
Analyze the effect of statutory accounting practices and studies regulations and guidance to ensure the correct application of Generally Accepted Accounting Principles
Participate in the ongoing development/establishment of accounting policies and procedures and operational strategies, including the review and implementation of process and system changes.
Maintain focus on improving system efficiencies and business practices
Make recommendations for changes as needed and ensure that company policies and procedures are followed and establishes the proper techniques to discover and prevent issues
Prepare summary feedback of financial statements variances to budget
